ASIS&T SIG and Chapter Officer News

You are receiving this monthly newsletter because you are the Chair, Chair-elect, or Treasurer of an ASIS&T SIG or Chapter. Please read for ASIS&T policies, procedures, and upcoming deadlines that are pertinent to your position.

 

NEW ELECTION PROCEDURES- YOUR ACTION REQUIRED

 

You may have noticed the recent call for volunteers that was sent to all ASIS&T members in early June. To reiterate what was sent in the May 2024 SIG and Chapter Officer News, 

all SIGs and Chapters are expected to hold elections each August or September for the upcoming administrative year.

 

This year, rather than having each SIG or Chapter put out a call for volunteers, there is a new process for soliciting Chair-elect candidates. In this new process, ASIS&T HQ has put out a common call for volunteers for Chairs-elect for all SIGs and Chapters. Volunteers will fill out a form indicating their interest to run for Chair-elect, and ASIS&T HQ will conduct elections for each SIG and Chapter. The deadline for signing up to volunteer for Chair-elect is July 15, 2024. Please supplement this ASIS&T call for volunteers by putting the call for volunteers for Chair-elect and any appointed positions in your SIG or Chapter iConnect community.

 

Because each SIG and Chapter should currently have a Chair-elect who will move into the office of Chair for the coming year, the only position requiring elections will be Chair-elect. The new blanket SIG bylaws and Chapter bylaws adopted earlier this year outlines these changes. Please refer to the bylaws for details. If there is anything unique about these roles in your SIG or Chapter, please be sure to put a description of the role on your website and in any calls for volunteers sent by the SIG or Chapter.

 

Although not required, a SIG or Chapter may also choose to appoint other officers, such as Secretary, Treasurer, Communications Officer, and Membership Officer. Those officers should be appointed, not elected, and calls for volunteers for those positions should be put out by each individual SIG and Chapter. 

 

 

DEADLINE APPROACHING: BYLAWS UPDATES

 

In the February issue of the SIG and Chapter Officer News, SIGs and Chapters were informed of the new blanket bylaws being adopted by ASIS&T. 

 

Next Steps:

  1. Review the revised Bylaws with your leadership to ensure you are all abreast of the new policies.
  2. Drop your SIG's purpose statement or your Chapter's geographic information into the template and submit the document to Pamela Yonker. Pam will upload your new Bylaws to your iConnect site. If we do not hear back from any SIGs or chapters, we will use whatever the most recent information we have available to finalize your bylaws for you. Please submit your new Bylaws no later than June 30, 2024.

These blanket bylaws will apply to all SIGs and Chapters respectively effective July 1st. The revised Bylaws do not differ greatly from the existing template but rather add some clarity and flexibility to some processes and formalizes others. Here is a list of the changes in the new Bylaws.

  • Establishes required membership tenure for SIG/Chapter leadership;
  • Limits officer roles that are elected to the Chair-Elect. All other positions are acquired by ascension or appointment;
  • Limits the term of an elected officer to one consecutive year in each position (Chair-Elect, Chair & Immediate Past Chair) but allows an individual to serve more than once so long as it is not in consecutive years;
  • Clarifies the process and line of succession in the event that an officer role becomes vacant;
  • Formalizes the nominating process;
  • Formalizes the election process; and
  • Allows the annual business meeting of the SIG/Chapter to take place outside of the Annual Meeting

We are confident that these changes will work to your benefit and facilitate transition between leaders by virtue of the consistency between all SIGs and Chapters.
