You are receiving this monthly newsletter because you are the Chair, Chair-elect, or Treasurer of an ASIS&T SIG or Chapter. Please read for ASIS&T policies, procedures, and upcoming deadlines that are pertinent to your position.

 

CHANGE TO DEADLINE FOR ANNUAL REPORTS AND BUDGETS

 

The ASIS&T Board of Directors has approved a new timeline for SIGs and Chapters that aligns the SIG and Chapter fiscal year with the administrative year.

 

The administrative year, or the year commencing immediately after the annual election of the officers, has been and will remain November 1 through October 31. However, in the past, SIGs and Chapters have followed the ASIS&T fiscal year of July 1 through June 30. That will now be changing and SIGs will be following a fiscal year of October 1 through September 30. This allows allows the chairs-elect to prepare the budget for their upcoming terms. This will also alow SIGs and Chapters to draw from two different fiscal years when approaching Annual Meeting.

 

What does this mean for you? Annual reports and budgets will no longer be due on July 15, but will now be due on September 1

NEW ELECTION PROCEDURES

 

All SIGs and Chapter are expected to hold elections each August or September for the upcoming administrative year. This year, rather than having each SIG or Chapter put out a call for volunteers, there will be a new process for soliciting Chair-elect candidates. In this new process, ASIS&T HQ will put out a common call for volunteers for Chairs-elect for all SIGs and Chapters in July. Volunteers will fill out a form indicating their interest to run for Chair-elect, and ASIS&T HQ will conduct elections for each SIG and Chapter. SIGs and Chapters may also put out their call for volunteers for these positions in iConnect.

 

Because each SIG and Chapter should currently have a Chair-elect who will move into the office of Chair for the coming year, the only position requiring elections will be Chair-elect. The new blanket SIG bylaws and Chapter bylaws adopted earlier this year outline these changes. Please refer to the bylaws for details. If there is anything unique about these roles in your SIG or Chapter, please be sure to put a description of the role on your website and in any calls for volunteers.

 

Although not required, a SIG or Chapter may also choose to appoint other officers, such as Secretary, Treasurer, Communications Officer, and Membership Officer. Those officers should be appointed, not elected, and calls for volunteers for those positions should be put out by each individual SIG and Chapter.
